CANCELLATION & REFUND POLICY

This policy governs all bookings made through monarchvacations.com. It supplements, and does not replace, the cancellation terms shown at booking on third-party platforms for bookings made there: Airbnb, Vrbo/Expedia/Google. A reservation is confirmed once payment is processed and the guest agrees to these terms.

Short Term Booking refund policy: [Includes any short term booking under 30 nights and any rental excluding the Quintessa Main House

• Cancellations with 14+ days written notice before check-in: Get a 96% refund
• Cancellations with 7–13 days written notice before check-in: 50% refund
• Cancellations under 7 days: no refund

Extended stays (30+ nights) and Quintessa Main House Event Bookings: =

• Cancellations with 90+ days written notice before check-in: Get a full refund, minus deposit and processing fees (4%).
• Cancellations with 30-89 days written notice: 50% refund, minus deposit and processing fees (4%).
• Cancellations Under 30 days: no refund
• $500 non refundable deposit due at booking; The deposit and processing fees (4%) non-refundable, regardless of notice.

Quintessa Wedding & Private Event Fee:

The $2,500 event fee is a retainer and non-refundable. At Monarch's discretion, a cancellation 180+ days out may receive credit toward a new date within 12 months instead of a refund. The site management fee of $500 is non-refundable on the same basis once a coordinator is confirmed. Overnight lodging tied to an event follows the Quintessa nightly tier above, not this section.

Refunds: issued to the original payment method; processed net of any incurred processing fees; split/multi-guest payments refunded proportionally within 30 days. 

Damage/security deposit: Separate from the booking deposit above, applies to all reservations. Released within 30 days of checkout, less documented damage or excess cleaning, itemized for the guest.

Extenuating circumstances: Any exception to the applicable cancellation policy is at Monarch Vacations’ sole discretion and must be confirmed in writing. Supporting documentation may be required. Nothing in this provision guarantees a refund, credit, or date modification.

Host-initiated cancellation: full refund.

No-shows and early departures are non refundable for unused nights at any property.

Modifications: date changes accommodated subject to availability and rate difference; a change requested inside the no-refund window counts as a new booking unless Monarch agrees otherwise in writing.

Force majeure: neither party is liable for non-performance due to natural disaster, extreme weather, government order, or utility failure. Monarch will work in good faith on rebooking or a partial refund for nights actually unavailable.
